Matching spacing and color across an order

Socket wire is sold by spacing and bulbs are sold by color temperature, so a season's order is really several smaller orders: one per spacing and one per color. Keeping 12 in. and 15 in. jobs on separate spools avoids a mismatched line on a house, and keeping warm white and sun warm white bulbs in separate cases avoids two different whites on the same edge. LED mini light cases follow the same rule: one spacing and one color per tree or shrub group.

Ordering a season's stock: a wholesale workflow

Installers who buy once per job end up paying for rush trips and partial packs. Installers who buy once per season end up with a garage full of the wrong spacing. The workflow below sits in between: estimate the season from job sheets, convert footage into the units the supplier actually sells, and order in planned waves.

1. Build a job sheet for every property

For each customer, record total lit footage, the number of separate runs, socket spacing, bulb color and the mounting surface. Returning customers can be copied from last year's sheet. New sales get a measured estimate. The run count matters as much as the footage, because every run needs a male plug at the power end and a female plug or cap at the far end.

2. Roll the sheets up by spacing and color

Total the footage separately for each spacing and each bulb color. 12 in. and 24 in. socket wire are different spools, and a warm white case doesn't help a pure white job. A season that is 70% warm white at 12 in. spacing should be ordered that way, not as one blended number.

3. Convert footage into order units

• Socket wire: footage ÷ 1,000, plus about 3% for leads from the outlet to the first socket, rounded up to whole spools.
• Bulbs: one per socket. Footage × 1 at 12 in., × 0.8 at 15 in., × 0.5 at 24 in.
• Clips: one per socket plus about 5%.
• Plugs: one male and one female per run.

Then compare the pack and case price on each line. Case quantity isn't automatically lower per unit on every item, so check the posted prices rather than defaulting to cases.

Worked example: 8,000 ft. at 12 in. spacing, 120 runs

Each line is bought the cheaper way at today's posted prices, which is why some lines come out as packs rather than cases. Divide the total by 8,000 for a materials cost of about $1.22 per foot to price new jobs from a tape measurement.

4. Order in waves

5. Receive and stage

6. Close out the season

Count what's left after the last install. Unopened cases and packs in original, intact packaging can be returned within 30 days of delivery, so a case ordered for a job that fell through doesn't have to carry over. Record the season's actual usage against the estimate; the gap between them is the margin to plan for next year.
